Role Overview

We are hiring a Junior Executive Assistant who will work directly with one or more OkayRelax clients. In this role, you will support clients by helping them stay organized, manage routine tasks, and keep daily operations running smoothly.


This is an ideal role for someone early in their executive support career who is eager to learn, grow, and build strong EA skills. You will receive guidance while developing the confidence and judgment to work more independently over time.


What You Will Do

Calendar, Email & Scheduling

- Help manage your client's calendar by scheduling meetings and flagging potential conflicts.

- Coordinate calls, video meetings, and appointments with guidance when needed.

- Monitor and organize your client's email inbox. Flag urgent items and draft routine replies for review.

- Prepare simple daily or weekly summaries of upcoming meetings and priorities.


Business Operations & Admin Tasks

- Update CRM (Customer Relationship Management) records by adding contacts and maintaining accurate information.

- Assist with invoicing, expense tracking, and basic administrative bookkeeping tasks.

- Help create and update SOPs (Standard Operating Procedures) for recurring tasks.

- Communicate with vendors on behalf of your client when instructions are provided.

- Assist with managing software subscriptions and account access.

- Support travel booking for flights, hotels, and transportation.


Project Coordination

- Use project management tools (such as Asana, Monday, Trello, or ProofHub) to track tasks and deadlines.

- Follow up with team members to help keep projects moving forward.

- Help prepare meeting agendas and distribute action items after meetings.

- Assist with onboarding new hires or contractors using provided checklists.


Communication & Support

- Help monitor incoming messages (email, chat, and occasionally phone) and respond to routine inquiries.

- Draft professional emails, follow-ups, and basic client communications.

- Escalate complex customer questions to your client when appropriate.

- Assist with scheduling podcasts, speaking engagements, or media opportunities if needed.


Research & Task Support

- Conduct basic research on competitors, tools, vendors, or market topics.

- Organize findings into clear summaries or simple spreadsheets.

- Assist with special projects such as event planning, outreach lists, or candidate sourcing.


Marketing & Content Support

- Schedule social media posts using tools like Buffer, Later, or Hootsuite.

- Assist with editing blog posts, newsletters, or marketing emails.

- Create simple graphics in Canva (templates and guidance provided).

- Monitor social media accounts and flag important comments or messages.


Handling Confidential Information

- Maintain strict confidentiality when handling client data, passwords, financial information, and internal documents.

- Help protect your client's time by politely routing or declining requests when appropriate.


What You Need (Required)

- 0–2 years of experience in an administrative, virtual assistant, customer support, or similar role (internships or freelance work count).

- Strong written and spoken English skills.

- Basic experience with calendars, email management, or scheduling.

- Comfortable using Google Workspace (Gmail, Google Calendar, Docs, Sheets) or Microsoft Office.

- Familiarity with Zoom, Google Meet, or similar video tools.

- Highly organized with strong attention to detail.

- Willingness to learn new tools and processes quickly.

- Able to work independently after receiving instructions.

- Reliable, fast internet connection and a quiet workspace.

- Available to work during US business hours (Eastern or Pacific overlap required).


Nice to Have (Not Required, But a Plus):

These skills are helpful but not required:

- Experience with Go High Level (GHL) or any CRM system.

- Exposure to QuickBooks or basic bookkeeping.

- Social media scheduling or community management experience.

- Familiarity with tools like Asana, Trello, or Monday.com.

- Basic content writing or editing skills.

- Experience using Canva or similar design tools.
