About the role:
Our Client is looking for an Executive Assistant to perform all the administrative tasks and assist senior-level executives. Some of the responsibilities they have to perform are managing schedules, travel arrangements, and making expense reports. To be successful in this job, you must have excellent time management skills and should be able to take action without anyone’s guidance.Â
Key Responsibilities:
- Calendar & Email Management: Managing complex, high-volume, and frequently changing diaries/calendars.
- Travel Coordination: Organizing comprehensive domestic and international travel itineraries, including flights, hotels, and visas.
- Administrative Support: Creating, editing, and formatting documents, presentations, and spreadsheets.
- Meeting Preparation: Organizing meetings, conferences, and board meetings, including preparing agendas, taking minutes, and setting up technology.
- Communication Gatekeeping: Screening phone calls, managing email correspondence, and acting as the primary point of contact for internal/external stakeholders.
- Special Projects: Conducting research, handling data management, and managing ad-hoc projects.
- Confidentiality: Maintaining strict discretion when handling sensitive business or personal information.
Desired Skills and ExperienceÂ
- Experience: Proven experience as an Executive Assistant, Personal Assistant, or in a similar administrative role.
- Technical Proficiency: Advanced knowledge of MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
- Communication Skills: Strong verbal and written communication abilities.
- Organization: Exceptional time management, prioritization, and organizational skills.
- Proactivity: Ability to anticipate needs and act independently without direct supervision.
- Interpersonal Skills: High emotional intelligence and the ability to build relationships at all levels of an organization.
- The ability to be discrete to safeguard sensitive or confidential information and business processes
Compensation:
The incumbent will receive a competitive salary commensurate with experience.
