Job Title: Swimming Club Coordinator
Reports To: Club Manager
Location: Ndola
Employment Type: Full-Time
Job Purpose:
To oversee the day-to-day administrative and operational functions of Aqua Riders Swimming Academy. The Coordinator ensures smooth session delivery, handles membership queries, manages the coaching staff, and supports the team to allow them to focus on athlete development.
Key Responsibilities:
1. Staff Management
· Manage the coaching staff, including scheduling, attendance tracking, and performance monitoring.
· Coordinate staff availability and arrange cover for absences or leave.
· regular staff meetings and communicate club updates to the coaching team.
· Assist the Club Manager with recruitment and induction of new coaching staff.
2. Administration & Membership
· Manage the club's membership database, processing new registrations, renewals, and withdrawals.
· Respond to email and phone inquiries from parents and members promptly and professionally.
· Process payments, track fees, and manage budgets in conjunction with the Club Manager.
· Maintain accurate records of athlete attendance and performance data.
3. Session Coordination
· Create and manage the weekly pool schedule, ensuring optimal lane usage for all squads.
· Ensure the poolside area is safe, tidy, and equipped with necessary training aids.
4. Communication & Marketing
· Act as the primary liaison between the club, parents, and external stakeholders.
· Draft and distribute the club newsletter and event reminders.
· Manage the club's social media channels to promote achievements and upcoming events.
5. Event & Competition Logistics
· Organize club championships, time trials, and social events.
· Handle logistics for external meets, including travel and accommodation for athletes where applicable.
· Liaise with competition organizers and swimming governing bodies.
Person Specification:
Essential Skills & Experience:
· Proven experience in an administrative, coordination, or supervisory role.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management.
· Excellent written and verbal communication skills.
· Strong organizational skills and attention to detail.
· Experience managing or supervising staff (desirable but not essential).
Desirable Attributes (Not Essential):
· Knowledge of the swimming industry or competitive sports environment.
· Experience using club management software.
· Ability to swim (an added advantage).
Personal Qualities:
· A positive, proactive, and "can-do" attitude.
· Flexibility to work evenings and weekends (as per training schedules).
· A genuine willingness to learn about swimming and pool safety.
· Strong leadership and interpersonal skills.
